The Vending Machine Contract: Five Things Worth Checking in It

Nobody reads contracts for fun. Someone at the company gets a file, scrolls to the signature line and asks, “Is there anything in here I should know about?” With a vending machine contract the answer is shorter than you might think, because the important things fit on the fingers of one hand.

A disclaimer first: this is general information, not legal advice; only the signed agreement is binding. It is not a model contract either. We give no prices, terms or penalties here, because conditions are agreed individually and written into the contract. We describe what our website says about the contract, plus a few defaults from our template. The rest you will see in the document itself.

First: it is not a sales contract

We do not sell the machines. Alnos Vending places the machine at your site and runs it under a contract. That changes how you read it: you are not looking for a description of equipment you are buying, but for where the machine stands, what Alnos Vending does and what you do. In our case it is a machine placement agreement: you make the spot available, and Alnos Vending places and runs the machine. It is not a purchase.

Five things worth checking in it

  • The spot. Where the machine stands. We agree it with you and write it into the contract, always inside the building.
  • The scope of installation, refilling and service. It is the third of the four steps on the Places page: “We sign a contract. It records the scope of installation, refilling and service.”
  • The mix. What goes in the machine. The agreement rules out energy drinks, tobacco and nicotine products. Alnos Vending sets the rest of the mix, taking your site’s reasonable requirements into account, so it is worth telling us what they are.
  • Water, if it is the coffee machine. From bottles inside the machine or from a mains line in the building. We settle which for the specific site before installation.
  • The terms. Agreed individually and written into the contract. There is no price list on the website.

If one of these points is missing or sounds too vague, ask before you sign.

A few things are set by default in our template agreement, so it is worth noticing them before you sign:

  • Exclusivity: YES by default. You can tick NO or list exceptions.
  • Access for our staff: 24 hours a day, 7 days a week by default. Narrower hours can be agreed for a given site.
  • A camera built into the machine, aimed at the inside of the machine and the products being chosen: YES by default; you can opt out for a given machine or the whole site. A camera covering the area around the machine needs a separate written agreement.
  • Alnos Vending’s liability to you: capped at the insurance cover for the loss in question, with the exceptions set out in the agreement.
  • Formal notices to Alnos Vending, such as termination: to both addresses at once, the registered office in Rzeszów and the correspondence address in Zamość.

What you provide and what Alnos Vending does

Your side is: a safe spot inside the building, a separate earthed 230 V socket with power (the agreement sets how electricity is settled), mobile signal or Wi-Fi, because the machines connect to a network, and access for our staff. After installation, you do not move or unplug the machine. Alnos Vending’s side is installation, refilling and service, to the scope written into the contract.

This is a good moment to check that both sides are clear to you. We would rather have a question before signing than a surprise after installation.

It also helps to know who signs the contract on your side and who will be the day-to-day contact. That is not always the same person, and Alnos Vending staff need to know whom to ask about getting into the building or about the machine’s spot. With the coffee machine, the choice between bottles and a mains line may also depend on what we see on site.

Things we confirm when we set the machine up

Some details depend on the site, and we confirm them when the machine is set up. One example: payment is cashless; we confirm the details when we set the machine up. There is no coin slot and no note reader.

Alnos Vending puts its own branding, product, price and deposit information and contact details on the machines. Other ads on the coffee machine’s screen, including third-party ads, need your consent in documentary form. If you would like a message for the team on the screen, mention it while we are talking.

Moving the machine and changes to the building

After installation, only Alnos Vending moves the machine, under the contract. If you are planning a renovation, an office move or a new layout, tell us early. How that works for you follows from the contract.

Rules that do not depend on the contract

Some rules come from the law or from our own policies and are the same everywhere. The deposit on bottles and cans in the deposit system is shown separately from the product price. There are no energy drinks, tobacco or nicotine products in the machines. In schools, only products allowed by law, and the offer is not aimed at pupils. The machines stand only inside buildings.

Questions worth asking before you sign

The five points are only the skeleton. It is also worth asking about practical things that may matter at your site:

  • How do we report a problem with the machine? Every machine carries a Polish label with +48 84 300 10 10 and hello@alnosvending.pl.
  • How do we give feedback on the mix? Write to us. Alnos Vending sets the mix and takes your site’s reasonable requirements into account later too.
  • Who lets your staff in? Agree a person or a way into the building.
  • What if the spot changes? Only Alnos Vending moves the machine, so know how to tell us.

Some answers are in the contract, some come up in conversation. What matters is that they do not live only in the head of one person who changes jobs next year.
